Who we are

West Clay is operated by WClay Trading Co LLC (“West Clay,” “we,” “us,” or “our”). This Privacy Policy explains how we handle personal information when you visit www.westclay.com, place an order, subscribe to our emails or text messages, or communicate with us.

Personal information is information that identifies you or can reasonably be connected with you. The information involved depends on how you interact with us and which services you use.

Information we collect

Information you provide. When you shop with us, we receive details such as your name, email address, billing and shipping addresses, telephone number where supplied, products ordered, and transaction information. When you contact us, we receive your message and any order details, photographs, or other information you choose to include. If you create or use a customer account, information associated with that account may include your contact details and order history.

When you join our email or text-message list, we collect the relevant contact details, subscription preferences, and information associated with your consent and opt-out choices.

Information collected through the website. Our store and the services that support it collect information about your browser, device, and interactions with the website. This can include IP address, approximate location derived from an IP address, browser type, device identifiers, referring pages, pages or products viewed, and shopping activity. Cookies, pixels, and similar technologies support some of this collection.

Information from service providers. We receive information from services involved in operating our store, such as payment status, delivery updates, analytics reports, and information about marketing performance. The details available depend on the service and its configuration.

Payment information is processed through the payment services available at checkout. Please do not send full payment-card numbers or other unnecessary sensitive information through our contact form or by email.

How we use information

We use personal information to:

• Process purchases and payments, arrange shipping, and manage eligible returns and refunds.
• Provide order confirmations, delivery information, and other transaction-related communications.
• Answer questions and provide customer support.
• Operate and troubleshoot the website and support customer accounts and shopping features.
• Understand website usage, improve our store, and evaluate marketing performance.
• Send email and text marketing in accordance with your preferences and applicable requirements.
• Promote West Clay through Google Ads and evaluate advertising results.
• Help detect fraud, investigate misuse, and protect the store and its customers.
• Maintain business records and meet applicable legal, tax, and accounting obligations.

Shopify, Google, and Klaviyo

We use the following services in connection with our store:

Shopify and Shopify Analytics. Shopify hosts our store and supports ecommerce functions. We use Shopify Analytics to understand store activity and sales. Shopify also handles information in connection with its own services; its role depends on the feature being used. See the Shopify Consumer Privacy Policy and Shopify privacy portal for information about Shopify’s own processing and choices.

Shopify Network Intelligence. Shopify Network Intelligence is enabled for our store. We share information with Shopify, which processes information about visits and purchases together with information from interactions with other merchants and Shopify to provide enhanced services, including personalisation, advertising, and improvements to its services. Information may be shared with Shopify and other providers in countries outside your own. You can learn about Shopify’s processing and exercise applicable rights, including withdrawing consent or objecting to processing for these services, through the Shopify privacy portal.

Google Analytics. We use Google Analytics to understand how visitors find and interact with our website. Information involved can include device and browser information and website activity. Learn more about how Google uses information from sites that use its services. Google provides a Google Analytics opt-out browser add-on.

Google Ads. We advertise through Google Ads. Depending on the advertising features enabled, Google technologies can be used to measure advertising results and show or personalise ads. These activities can involve online identifiers and information about website interactions. You can review Google’s advertising information and manage Google advertising preferences through My Ad Center.

Klaviyo. We use Klaviyo for email and text-message marketing. Information used for these services can include your name, email address or mobile number, subscription status, shopping activity, and message interactions, depending on the features enabled. Cookies and similar technologies

Cookies are small files stored by your browser. Related technologies, including pixels, can record interactions with a website or message. We use these technologies to support shopping features, understand website activity, and support marketing and advertising.

Some technologies support essential functions, such as remembering a cart or completing checkout. Others support analytics and advertising. The information involved depends on the technology, your choices, and the services enabled.

You can remove or restrict cookies through your browser settings. Doing so may affect website features. The Google controls linked above provide additional options for Google services, but they do not replace other privacy rights or automatically stop every form of data collection. Choices may need to be made separately for different browsers or devices.

For help with the privacy choices available for our store, contact hello@westclay.com. Changing cookie settings does not automatically unsubscribe you from emails or text messages, and unsubscribing from marketing does not delete records of a purchase.

Email and text-message marketing

You can unsubscribe from marketing emails using the unsubscribe link included in an email or by contacting hello@westclay.com.

If you subscribe to marketing texts, you can opt out by replying STOP or following the instructions in the message. For assistance, contact hello@westclay.com. Message frequency varies, and message and data rates may apply. Marketing consent is not a condition of purchasing from us. Signing up for email does not, by itself, mean you have signed up for text messages.

Mobile-message opt-in information and consent are not shared with third parties or affiliates for their own marketing or promotional purposes. They may be disclosed to providers that help deliver and administer our messaging program, such as Klaviyo and messaging-delivery providers.

An email unsubscribe and a text-message opt-out apply to their respective channels. We may still send communications needed to support an order, respond to a request, or provide an essential service update.

Who receives information

We disclose information to providers involved in operating the store and delivering services, including Shopify, payment providers, shipping and fulfilment providers, customer-support services, Google, and Klaviyo. The information disclosed depends on the purpose and each provider’s role.

Advertising-related disclosures may be considered a “sale,” “sharing,” or processing for targeted advertising under some privacy laws, even where no money is exchanged for information. Your rights depend on applicable law and the particular activity. You can contact us about advertising-related privacy requests using the email address below.

We may disclose information in response to valid legal process, to meet legal obligations, to address suspected fraud or security incidents, or to establish or protect legal rights. Information may also be reviewed or transferred in connection with a proposed or completed sale, merger, reorganisation, or similar business transaction, subject to applicable requirements.

International customers

We sell to customers outside the United States. Information associated with an international order or other interaction may be processed in the United States and in countries where our service providers operate. Privacy laws can differ between countries.

Where European, UK, or other applicable law requires a legal basis for processing, the relevant basis depends on the purpose. Examples include fulfilling a purchase contract, obtaining consent for activities that require it, meeting a legal obligation, and legitimate interests such as operating and protecting the store, subject to applicable safeguards and balancing requirements.

How long information is kept

Retention depends on the purpose for which information is used and any applicable recordkeeping requirements. Relevant considerations include fulfilling purchases, addressing returns or disputes, providing support, maintaining tax and accounting records, investigating fraud, and recording privacy or marketing choices.

We may retain information that is necessary to meet a legal obligation or another permitted purpose even after an account is closed or a deletion request is made.

Security

We rely on Shopify and other providers to support the operation of our store and the handling of information involved in their services. No website, storage system, or transmission method can be guaranteed completely secure. Keep account access information private, and contact us promptly if you believe information associated with your account or order has been misused.

Your privacy rights

Depending on where you live and which laws apply, you may have rights to:

• Obtain information about how your personal information is handled and request access to it.
• Correct inaccurate information.
• Request deletion of information, subject to exceptions.
• Receive an available portable copy of information.
• Withdraw consent where processing relies on consent.
• Object to or restrict certain processing.
• Opt out of covered sales, sharing, or targeted-advertising activities.
• Appeal certain decisions about a privacy request, where that right applies.

To submit a request, email hello@westclay.com and describe what you would like us to do. We may request information reasonably necessary to verify your identity. Where an authorised agent makes a request, we may need evidence of permission and additional verification as permitted by law. Please do not send sensitive identification documents unless we specifically request them through an appropriate process.

If an appeal right applies, you can ask us to reconsider a decision by emailing the same address and referring to your original request. You may also have the right to raise a concern with the relevant privacy or data-protection regulator. We will not unlawfully discriminate against you for exercising a privacy right.

Sign-up offers

We offer a first-order discount for joining our email list. The current website offer is 10% off your first order, subject to the terms shown with the offer. Participation is optional, and you can unsubscribe from marketing emails at any time. Where a promotion has additional terms, those terms will be provided with it.

Other websites and services

Our website links to services operated by others, including social platforms and retailers. Information you provide directly to those services is governed by their own privacy notices. Review those notices before submitting information.

Children’s information

If you believe a child has provided personal information to us inappropriately, contact hello@westclay.com so we can review the situation and take any steps required by applicable law.

Changes and contact details

We may revise this policy as our services or practices change. When an updated policy is published, we will identify its effective date and provide any additional notice required by applicable law.
